Milan Core Support Hours 8 - 5, Expect UserWaits

****UPDATE**** Cuts were approved by OHCA and may NOT apply to Behavioral Health rates, we'll add more information when we know more. *****
****UPDATE 2**** We have confirmed with ODMHSAS that cuts do not affect you if you are not TFC/Residential. *****
As you may already know, when rates get cut, we reduce our fees. Due to the present cutbacks from OHCA and DMHSAS, we are reducing our primary support hours to standard business hours (8-5). Email and voicemail will continue be available after hours but will be answered on the next business day.

Additionally, since the 12/1 cuts were approved retroactively but the rates have not been published yet, you may also experience a higher than normal level of UserWait claims from underpayment over the next month or so. Once we get a copy of the new rates, we will be able to adjust the rates in Milan, returning the UserWait to normal amounts.

Changes To Three-Day Signature Rule

The OHCA Provider letter 2017-33 which was posted on 11/6/17, indicates that the three-day signature rule WILL NOT be required, but it is an expectation. To read more https://www.okhca.org/xProviderletters.aspx?id=736&menu=70

"General provider policy at OAC 317:30-3-4.1 and 317:30-3-30 is revised to clarify the authentication of electronic medical records. The policy that became effective September 1, 2017 required that the record be authenticated within three (3) days of the provision of the underlying service. New revisions revert the three (3) day signature language to the policy that was in place on June 25, 2011. The proposed revisions clarify that the authentication of medical records is expected rather than required on the day the record is completed. Additionally, revisions describe that the signature of the rendering provider and date entry is expected rather than required within three (3) business days from the day the record is completed if the record is being transcribed."

Downtime 9/6/2017 @ 9:30 pm for Case Management Update

Medicaid/State-funded Case Management underwent a dramatic reduction last Friday (9/1/2017), from 25 units per month to 16 units per year. We have already added new MEDICAL NECESSITY variants for all Case Management Services. Authorizations for these can be added to TxPlans using the "New" button in the Request. Units will need to be moved and/or allocated to the new authorizations. Since the new codes are not valid pre 9/1 at OHCA, we have prevented the use of these variants before 9/1 to reduce the chance of accidental use and subsequent denials.

We are also updating the Case Management warning that displays when you write a new Case Management note. The new warning will read:
As of 9/1/17 there is a rolling cap of 16 units per year on normal
Case Management notes. Using a MEDICAL NECESSITY version will allow
25 units per month but will be recouped if client does not
have medical necessity.

You may have available units but be in excess of this limit.
Unfortunately, Milan cannot warn you when you exceed this limit.

Labor Day Observance: Monday, September 4th, 2017

Downtime: 8/31/2017 9:30PM for 5 minutes

Milan will be down briefly for an update to the Patient Chart that will remove Deleted status notes from being loaded to the Notes section of the chart. They were previously hidden from view, and the update to prepare for 3-day rejection (or whatever timeframe the OHCA may ultimately decide to use) caused them to no longer be hidden from view.
